This Privacy Policy describes how Receiptly ("we," "us," or "our"), operated by Szymon Sobkowski, collects, uses, and shares your personal information when you use our mobile application, Receiptly (the "App" or "Service"). We are committed to protecting your privacy and handling your data in a transparent and responsible manner.

By using the Receiptly App, you agree to the collection and use of information in accordance with this policy.

1. What Information We Collect

We collect various types of information to provide and improve our Service to you.

1.1 Information You Provide to Us Directly

When you create an account or interact with our Service, you may provide us with the following personal information:

  • Account Information: Your username, email address, and a password (which is stored securely in an encrypted format).

1.2 Information We Process Related to Receipts

When you use the App to process receipts:

  • Receipt Images: When you take a picture of a receipt, the image is not stored by Receiptly on persistent storage. It is temporarily processed in memory (RAM) on our cloud computing infrastructure for the sole purpose of resizing and performing Optical Character Recognition (OCR) to extract relevant data. This processing is ephemeral, meaning the image data is deleted immediately after the necessary processing is complete. While we utilize secure third-party OCR providers, our agreements and understanding with them indicate that they do not store images beyond the ephemeral processing required to provide their service.
  • Extracted Receipt Data: We store the following data extracted from your receipts: item lists with prices, the total amount, store information (e.g., store name, date of purchase), and other relevant structured data to facilitate receipt splitting. The specific types of data extracted and stored may evolve over time to improve the Service.

1.3 Information Collected Automatically

When you use the App, we may automatically collect certain information from your device to help us understand how the Service is used and to improve its functionality:

  • Usage Data: We collect anonymous analytics data regarding your interactions with the App, such as features used, actions taken, and the general performance of the App. This data is aggregated and does not identify you personally.
  • Device Information: We may collect device-specific information, such as your device model, operating system version, and unique device identifiers. This information helps us troubleshoot and optimize the App for various devices.
  • Analytics Data: We use PostHog to collect anonymous usage analytics to help us understand how the App is used and improve its functionality. This data is aggregated and does not identify you personally.

2. How We Use Your Information

We use the information we collect for various purposes, including:

  • To Provide and Maintain the Service: To create and manage your account, process your receipts, enable receipt splitting, and provide customer support.
  • To Improve and Develop the Service: To understand usage patterns, analyze performance, fix bugs, and enhance existing features or develop new ones. This includes using anonymous analytics data to guide product development.
  • To Communicate with You: To send you service-related notifications, updates, and respond to your inquiries or support requests.
  • For Security and Fraud Prevention: To protect the integrity and security of our Service and to detect, prevent, and address technical issues or illegal activities.
  • To Enforce Our Terms: To ensure compliance with our Terms of Service.

3. How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

  • With Service Providers: We engage third-party companies and individuals to facilitate our Service, provide the Service on our behalf, perform Service-related services (e.g., database hosting, cloud computing, analytics, OCR processing), or assist us in analyzing how our Service is used. These third parties have access to your personal information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
  • For Legal Reasons: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency request).
  • Business Transfers: In the event that Receiptly is involved in a merger, acquisition, or asset sale, your personal information may be transferred as part of that transaction. We will provide notice before your personal information is transferred and becomes subject to a different Privacy Policy.

4. Data Retention

We retain your extracted receipt data (item lists, prices, store info, totals) for the following periods:

  • Free Tier Users: Your receipt data is stored for 30 days. After this period, the data is automatically deleted from our systems.
  • Pro Tier Users: Your receipt data is stored for 90 days. After this period, the data is automatically deleted from our systems.

Account information (username, email) is retained as long as your account is active. If you request account deletion, your account and associated personal data will be deleted as described in Section 5.3.

Anonymous analytics data is retained for a longer period to support long-term product development and analysis, but this data cannot be used to identify you personally.

5. Your Data Protection Rights

Depending on your location, you may have certain rights regarding your personal information. We are committed to facilitating these rights for all our users.

5.1 Access and Portability

You have the right to request a copy of the personal data we hold about you. You may also request that we provide this information in a structured, commonly used, machine-readable format.

5.2 Correction

You have the right to request that we correct any inaccurate or incomplete personal information we hold about you.

5.3 Deletion (Right to Erasure)

You have the right to request the deletion of your personal data and account. To do this, please send an email to support@getreceiptly.app with the subject "Data Deletion Request." We will process your request promptly and delete your data, subject to any legal obligations to retain certain information.

5.4 Object to Processing

You have the right to object to our processing of your personal data in certain circumstances.

5.5 Withdraw Consent

Where we rely on your consent to process your personal information, you have the right to withdraw that consent at any time. This will not affect the lawfulness of processing based on consent before its withdrawal.

6. International Data Transfers

Your information, including personal data, may be transferred to and maintained on computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction.

For users in the European Economic Area (EEA), the UK, or Switzerland: While Receiptly is operated by Szymon Sobkowski based in Poland (EEA), our service providers and cloud infrastructure may be located in other countries, including the United States, which do not have the same data protection laws as your region. By providing your information and using our Service, you consent to these transfers. We take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.

7. Children's Privacy

Our Service is not intended for use by children under the age of 18. We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you believe that your child has provided us with personal information, please contact us at support@getreceiptly.app. If we become aware that we have collected personal information from a child under 18 without parental consent, we will take steps to remove that information from our servers.

8. Security of Your Data

The security of your data is important to us. We implement a variety of security measures, including encryption, to maintain the safety of your personal information when you enter, submit, or access your personal information. However, please remember that no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
